When you enrol your child, you will be required to Agree to the Policies, Terms and Conditions below and abide by them.
Enrolment & Registration:
Your enrolment creates a binding agreement between you and LEAP Academy regarding the care of your child.
- Parents or caregivers must complete the registration form to enrol their child.
- Enrolments are confirmed once the registration form is received, and payment has been processed.
- Spaces are limited, and enrolment is on a first-come, first-served basis.
- The program is non-transferable, and a child’s space may not be transferred to another participant.
- LEAP Academy reserve the right to modify or substitute specific activities in the program to ensure the well-being of both participants and the program in general.
Program Hours:
Our program hours are from 8.30am to 4:00pm.
The school holiday program ends promptly at 4:00pm. We understand that unforeseen delays can happen, but to ensure the safety and supervision of all students, a late pickup fee of $50 for every 15 minutes of delay will apply for pickups after 4:15pm. If you anticipate being late please notify LEAP Academy as soon as possible.
Missing Child Policy:
- If a child is enrolled and unaccounted for by 9:00am, staff will contact the parent/caregiver or emergency contact as provided.
- If unable to reach the parent/caregiver or emergency contact, staff will contact the police.
- The police maybe asked to collect the child until the parent/caregiver is able to collect the child.
Fees & Payments:
- All fees must be paid in full at the time of booking. Booking will not be confirmed until payment is made in full.
- Fees are as advertised but are subject to change periodically.
Cancellations & Refunds & Credits:
- Fees are non-refundable due to non-attendance, sickness or injury as all staffing and activity resources have been finalised.
- A full refund will be issued if the program is cancelled by the organisers.
- If you wish to cancel your child's enrolment, a cancellation request must be submitted in writing to support@leapacademy.co.nz at least 7 working days prior to the start of the program to receive a credit.
Health & Safety:
- Parents must disclose any medical conditions, allergies, or special needs that their child may have on the registration form.
- Children must be brought to the program in a healthy state. If a child is unwell, parents should keep them at home.
- In the event of an emergency or injury, LEAP Academy will contact the parents immediately, and if necessary, emergency medical treatment will be sought.
- In the event of minor injuries LEAP Academy staff will provide First Aid and notify you as soon as possible.
- LEAP Academy will not be liable for any costs incurred in seeking medical attention.
- The program will operate under the guidance of Health & Safety at Work Act 2015.
- LEAP Academy provides services in a manner consistent with the Oranga Tamariki Act 1989 in relation to child protection policies and procedures.
Behavioural Expectations:
- Children are expected to follow the rules of the program and treat staff and other participants with respect.
- If a child’s behaviour is disruptive or dangerous, parents will be contacted, and the child may be asked to leave the program.
- A refund will not be provided where a child is removed from the program due to serious or repeated misconduct.
- If a parent or authorised person demonstrates behaviour that is threatening and/or impacts the safety of our staff, we reserve the right to cancel the enrolment of a child immediately without a refund.
Parent & Caregiver Responsibilities:
- Parents are responsible for ensuring that children are dropped off and picked up on time, as well as signing-in and signing-out at the time of drop-off and pick-up.
- Our program ends promptly at 4:00pm. We understand that unforeseen delays can happen, but to ensure the safety and supervision of all students, a late pickup fee of $50 for every 15 minutes of delay will apply for pickups after 4:15pm. If you anticipate being late, please notify LEAP Academy as soon as possible.
- Parents are required to inform the organisers if someone other than the parent or guardian will be collecting the child. LEAP Academy will not release the child to any person not listed as an authorised person for pick-up.
- Parents are responsible for ensuring all meals are provided for the child.
- Parents must provide a detailed list of any medical conditions such as allergies, illness or injuries your child has as part of the booking process.
- LEAP Academy aims to include children with special needs in our program. If we cannot safely meet their specific needs, we may have no other option but to decline their booking in the program.
Photography & Media:
- Parents consent to their child being photographed or filmed for communication and promotional purposes engaged in the ordinary activities of the program, including newsletters, LEAP Academy's website or social media.
- If you do not wish your child to be photographed or filmed, please inform the organisers in writing before the start of the program.
Privacy Policy:
1. Collection of Personal Information - we collect personal information to ensure the safety and well-being of your child while participating in the school holiday program. This may include:
- Child’s name, date of birth, and contact details.
- Parent/guardian names, contact details, and emergency contact information.
- Health and medical information, including allergies or special requirements.
- Any other relevant information to support your child’s participation in the program.
2. Use of Personal Information - personal information will be used solely for the purpose of:
- Enrolling and managing your child’s participation in the program.
- Contacting you in the event of an emergency.
- Providing appropriate care and support to your child, including medical assistance if needed.
- Communicating program details, updates, and important notices.
3. Storage and Security of Personal Information - we are committed to protecting the personal information we hold about your child and will take all reasonable steps to ensure it is securely stored. All personal information is kept confidential and will not be shared with third parties, except in the following circumstances:
- With your explicit consent, e.g., sharing medical information with a healthcare provider if necessary.
- To comply with the law or in response to a valid legal request (e.g., a police investigation).
4. Sharing of Personal Information - we will not share your personal information with any third party without your consent, except in situations where:
- It is necessary for the operation of the program (e.g., sharing emergency contact information with medical providers in case of injury).
- We are required by law to do so.
- Information collected will be managed in accordance with the Privacy Act 2020, the Vulnerable Childrens Act 2014, The Children, Young Persons and their Families act 1989, and other relevant legislation.
5. Access to Personal Information - Under the Privacy Act 2020, you have the right to request access to the personal information we hold about your child. If you believe that any of the information we hold is incorrect, you may request that it be updated or corrected.
6. Retention of Personal Information - personal information will be retained only for as long as necessary to fulfil the purpose for which it was collected or to meet legal requirements. Once it is no longer required, it will be securely destroyed or anonymised.
7. Opting Out - if you do not wish for your child’s information to be used in specific ways (such as being photographed or filmed for promotional materials), please let us know in writing before the start of the program.
Liability & Indemnity:
- LEAP Academy and their staff are not responsible for any personal injury, loss, or damage to property occurring during the program, except where caused by the negligence of staff.
- Parents agree to indemnify the organisers against any claims, damages, or expenses arising from their child's participation in the program.
Changes to Terms & Conditions:
- LEAP Academy reserve the right to change these terms and conditions at any time.
- Any changes will be communicated to parents in advance, and continued participation in the program will be deemed acceptance of the updated terms.
Governing Law:
- These terms and conditions are governed by the laws of New Zealand. Any disputes will be resolved in the New Zealand courts.
